Payment and Billing Policy

1. Who this policy applies to

This Payment and Billing Policy explains how MediConnex HongKong Limited ("MediConnex", "we", "us") quotes, collects, confirms, and invoices payments for our non-medical concierge, coordination, and introduction services.

Legal entity: MediConnex HongKong Limited. Hong Kong Business Registration Number: 80524054. Registered office: Unit 2406B, 24/F, Low Block, Grand Millennium Plaza, 181 Queen's Road Central, Sheung Wan, Hong Kong. Correspondence address: Unit 2406A, 24/F, Low Block, Grand Millennium Plaza, 181 Queen's Road Central, Sheung Wan, Hong Kong. Telephone: +852 3521 2970.

This policy forms part of our Terms of Use and should be read together with our Refund and Cancellation Policy, Privacy Policy, and Medical Disclaimer.

2. What you pay for

MediConnex charges the Company Service Fee for the concierge, coordination, interpretation, introduction, documentation and related non-medical support services it agrees to supply. We are not a hospital, clinic, medical practitioner, travel agent, airline, hotel, insurer or emergency medical provider.

Any medical treatment is provided by the relevant Treatment Provider under a separate Treatment Agreement. Medical fees may be paid directly to the Treatment Provider, or collected and remitted by MediConnex on your behalf under your express written authority for specified Pre-Authorised Treatment Costs. This authority does not cover travel, accommodation, transport or insurance costs.

Important — please read before paying. Any provider-side or pass-through amount covers only treatment costs quoted or agreed with you in writing in advance and expressly authorised by you (the "Pre-Authorised Treatment Costs"). Emergency treatment, treatment of complications, and any treatment or other charges outside the Pre-Authorised Treatment Costs are not included. You must pay those charges directly to the Treatment Provider at the point of care. MediConnex will not collect or pay those charges, and does not assume payment liability for them. If you do not understand or accept this payment boundary, please contact us before making any payment.

3. Quotes, itemised pricing and payment dates

Before you confirm travel to China and before payment, the written quotation and engagement schedules identify each service item, supplier, price, currency, delivery stage and payment date. Company service invoices and separate medical collection receipts use the corresponding quotation and authority references.

  1. Company Service Fee: MediConnex's non-medical service items.

  2. Authorised medical collection: only the specified medical items you expressly authorise in writing. The record identifies the Treatment Provider, items, amount, currency, prepayment date, remittance instructions and applicable medical refund terms. Medical direct payments are shown for reference outside the total collected by MediConnex. Before we request or accept a medical collection payment, you must have received a durable copy of the Treatment Provider's applicable written cancellation and refund terms and given the item-specific written authority; we record that document, delivery date and your receipt in Schedule B. We do not collect the medical money if either is missing; you may choose direct payment under the provider's requirements.

The Company Service Fee is payable in full on signing and before work begins, unless a different written payment schedule is agreed. Delivery is recorded under the Service Delivery Policy; any refund is governed by the Refund and Cancellation Policy. Where you choose medical collection, the specified medical prepayment must be received as cleared funds before your departure for China, by the agreed quotation date. If you choose direct payment, you decide when to pay under the requirements you agree with the Treatment Provider; MediConnex imposes no separate pre-departure collection deadline on direct payments.

The quotation shows the total payable to MediConnex separately from sums payable directly to providers, and discloses known mandatory charges or their calculation basis. We do not need to disclose a provider's internal cost breakdown, procurement terms or internal supplier payment arrangements, except as required by law. Accepted prices are not increased without your written agreement. Additional non-emergency services require your express written approval of the scope and price before supply.

Flights, hotels, ground transport, travel insurance, visas and similar travel expenses are arranged and paid by you directly. MediConnex does not collect or remit them, including for operational convenience. Any reference budget for them is outside the invoice total.

4. Payment methods and currencies

Payments to MediConnex HongKong Limited are made to the company collection account or regulated payment channel identified in the private invoice or payment instructions. The available method and currency are confirmed for the engagement; no bank account details are published in this policy.

We may support payments in EUR, USD, AUD and other currencies identified in the quotation. Payments must cover the invoiced amount plus any separately disclosed and lawfully chargeable transaction costs. For a refund, partial refund, cancellation, reversal, chargeback, payment amendment or other adjustment of money already paid, the Client bears all actual, evidenced transaction costs lawfully chargeable to the Client, including non-recoverable original processing fees, outgoing and intermediary-bank fees, payment-provider fees and currency-conversion costs. Any separate administration charge must have been disclosed by amount or calculation method and accepted before the original payment. Costs may be deducted from the amount otherwise refundable or separately charged where lawful, with an itemised calculation; the same cost cannot be recovered twice or added again if included in cancellation retention. This allocation does not apply where mandatory law requires reimbursement without charge or places the cost on MediConnex, and does not shift costs of MediConnex's erroneous or unauthorised handling to the Client.

MediConnex does not store full card numbers or full payment credentials on our own systems. Payment processing is handled by regulated third-party payment providers subject to their own terms and privacy notices.

5. Billing and invoice confirmation

Payment confirmation is issued after cleared funds are matched to the engagement and the required billing and compliance information is available. The Company Service Fee is invoiced separately from medical money. Authorised medical collections are documented only on a separate Medical Collection Receipt identifying the Treatment Provider and written authority; that receipt is not a hospital invoice or evidence of receipt by the hospital.

Bank, payment-provider and compliance checks may affect confirmation timing.

Please send billing-name, billing-address, tax-reference, or invoice-format requests to admin@mediconnex.com.cn as early as possible. Any request to amend invoice details after issuance must be received by us no later than 7 working days after the invoice date. We may not be able to amend invoices after that period due to accounting or tax constraints.

6. Failed, delayed, or disputed payments

Services may not begin, or may be paused, until required payments are received as cleared funds. If a payment fails, is reversed, is suspected to be unauthorised, or is subject to sanctions, anti-money-laundering, fraud, or payment-provider review, we may delay or decline service until the issue is resolved.

The payment processes in this section apply only to amounts that MediConnex has agreed in writing to collect. Emergency treatment, treatment of complications, and any treatment or other charges outside the Pre-Authorised Treatment Costs must be paid by you directly to the Treatment Provider at the point of care. MediConnex will not collect or advance those charges and does not assume payment liability for them, including where your direct payment is failed, delayed or disputed.

Late payment consequences are described in the Terms of Use. Chargebacks and refunds are handled under the Refund and Cancellation Policy and the rules of the relevant payment provider.

Only to the extent not already covered by a service-fee cancellation deduction, and without duplicate recovery, if your delay in payment causes any third-party cost, including treatment-provider deposits, interpreter deposits, translation commitments, or other non-refundable commitments made on your behalf, to become unrecoverable, you remain responsible for that cost, and it will not be refundable even if you later cancel the engagement, except where required by applicable mandatory law.

7. Refunds

Refund eligibility is governed by the signed engagement and Refund and Cancellation Policy. Payments are not refundable merely on request. Any amount properly refundable is subject to the transaction-cost allocation in section 4; no additional refund, credit or goodwill payment is promised unless MediConnex expressly agrees it in writing.

We recommend that you obtain appropriate travel and medical insurance for planned international medical travel, including cover for cancellation or interruption where available. MediConnex does not offer insurance products and accepts no liability for uninsured losses.
